Administrative Secretary

First Presbyterian Church (The Old Stone Church), a 200 + year old church in the heart of Cleveland’s Public Square, is seeking an Administrative Secretary to provide support to the Senior Pastor to work with a growing and diverse staff and congregation to achieve the strategic and ministry work of the church successfully.

Position Overview: The Administrative Secretary provides support services at Old Stone Church. The Administrative Secretary reports to the Senior Pastor. This is a 40-hour-per-week position that is eligible for benefits.

Key Responsibilities:

  • Provide support to the Senior Pastor, including making appointments, maintaining calendars, and outreach to members and guests.
  • Train, supervise, and coordinate the work of office volunteers.
  • Cross-train and work in collaboration with the Front Office Coordinator.
  • Coordinate Old Stone Church’s wedding program.
  • Fulfill routine office responsibilities and church administrative tasks.
  • Maintain church records of births, baptisms, weddings, and deaths.
  • Budget for and order office supplies as needed.
  • Gain competency for and work in our member database, REALM.
  • Update and maintain the OSC Policy Manual under the direction of Session and the Personnel Committee.
  • Schedule meetings, both in person and virtual (Zoom).

Additionally, the Administrative Secretary works closely with our Clerk of Session to:

  • Ensure the church registrar is current and all required Presbytery fillings are accurate and done promptly, including the review of meeting minutes.
  • Assist in preparing the Statistical Report for the Presbyterian Church (USA).
  • Collaborate in the preparation and distribution of the Annual Report to the Congregation.

Qualifications:

  • Previous administrative and office management experience.
  • Demonstrated computer proficiency in Microsoft Office suite, including Word, Excel, and Powerpoint, and meeting software, including Zoom.
  • Experience using Adobe Photoshop and InDesign is a plus.
  • Effective written and verbal communication skills.
  • Strong interpersonal/strong people skills.
  • Ability to work both independently and with a team.
  • Skilled in proofreading and editing.
  • Ability to thrive and accept working in a diverse environment with co-workers and our congregation.

Salary: $45,000 - $55,000 annually.

Full Charge Bookkeeper

First Presbyterian Church (The Old Stone Church), a 200 + year old church in the heart of Cleveland’s Public Square, is seeking a Full Charge Bookkeeper to work with a growing and diverse staff and congregation to achieve the strategic and ministry work of the church successfully. The position is a part-time, in-office role, with a set four days at 32 hours per week. The position reports directly to the Senior Pastor/Head of Staff. Benefits include paid time off and the option to enroll in a 403(b) retirement package.

Position Overview: The Full Charge Bookkeeper manages accounting records and is responsible for producing financial reports. Those responsibilities include posting information to accounting journals and/or accounting software from donations and vendor invoices and reconciling all accounts and journal entries. The Full Charge Bookkeeper oversees payroll, medical insurance payments, retirement benefit payments, payment for services rendered, and the annual audit.

Specific Responsibilities Include:

  • Record and timely deposit donations to the Church
  • Review and mail quarterly and year-end statements
  • Review and process invoices for payment due and generate checks in a timely manner
  • Provide monthly reconciliation of Bank Statements
  • Prepare special monthly reports to account for credit card purchases
  • Prepare bi-weekly 403(b) reports
  • Process timesheets for hourly employees and process all employee pay utilizing Paychex accounting service
  • Review computer-generated income statements monthly prior to release to Session
  • Generate Account reports as needed for Ministry and Wedding teams
  • Annual review of employee benefits with Personnel/Head of Staff
  • Provide resources/information regarding Annual Stewardship
  • Manage the entire audit process as directed by the Treasurer
  • Oversee/coordinate the annual budget process
  • Perform all accounting functions for First Presbyterian Society
  • Review PayPal and Text to Give (Vanco)

Requirements:

  • BA or BS in Accounting (or relevant business degree)
  • A minimum of five years experience as an accountant or bookkeeper
  • Basic computer skills and knowledge of Microsoft word processing and spreadsheet programs
  • Previous experience in Realm Accounting Software (ACS) is a plus
  • Organizational and administrative skills
  • Basic written and verbal communications skills
  • Outstanding interpersonal skills and team player

Salary: $25 - $35 per hour, commensurate with experience.
